Vertbooks started as a system for one retailer with several branches. It became a product because every shop had the same problems.

Most software sold to shops is one of two things: an accounting package with a register added on afterwards, or a register with a spreadsheet behind it. The first treats the counter as an afterthought. The second cannot tell you which of your shops made money last month, or what happens to last year’s profit when a currency moves.

Vertbooks is written by the people who support it. When something goes wrong you talk to the person who built that part, in your working hours — not a ticket queue. It is used by owners, shop managers and accountants: practical people who want their numbers clear and under control, and who would rather hear about a problem than have it hidden.

It is not funded by investors and it is not trying to be a platform. It is a system you subscribe to or buy outright, with your data in a database you can take a copy of this afternoon.

How it is built

Four things it will never do.

These are not marketing lines. They are the rules the software is built on, and they are why a few things in Vertbooks are deliberately less convenient than they could be.

Nothing corrects itself quietly

A short drawer, a transfer that never arrived, a stock count that does not match — these are facts, and the software records them. Software that tidies them away removes the only sign that something needs looking at.

History does not move

Every document keeps the rate, the cost and the prices it was written with. If a figure you reported last March changes this March, the system has already lied to you once — and you have no way of knowing when.

One way to do each thing

Stock moves in one way. Money converts in one way. A counter sale is an ordinary invoice, and every document writes its own entry to the accounts. Having two ways to do one thing is how two parts of a system start disagreeing about the same number.

Nothing unbalanced is ever written

An entry whose debits and credits do not match is a mistake, and the system refuses it rather than putting a wrong number in the accounts. Your books can be wrong about the world; they cannot be wrong about themselves.

Under the bonnet

Simple to run, on purpose.

It runs in any web browser, hosted by us or installed on your own server. There is nothing to install on the counter, and nothing to keep running overnight.

Every change is logged with who made it and when. Every upgrade checks that the books still add up before it finishes — if total stock before does not equal total stock after, it stops. The daily backup is automatic, and you can download one whenever you like.
